If you want proof that AI interest has exploded, you don’t need a trend report. Just take a look at The AI Summit New York 2025, with its sheer number of booths, demos, and AI products competing for attention. This year’s event drew 6,500+ attendees across 10 content stages, which gives you a sense of the scale. And yet, in the middle of all that novelty, the most repeated takeaways were surprisingly consistent, echoed by leaders from companies big and small.
If you weren’t able to attend the conference but still want the insights, I pulled together some connected lessons I heard throughout the many talks I attended. These 6 practical tips are helpful to anyone trying to effectively implement AI inside their organization.
1) Start with the business problem
Often teams (or leadership) can get excited about “doing AI,” then scramble to find a place to put it. That’s backwards and can lead to a lot of issues later down the road.
The most successful implementations usually begin with:
- a clear business constraint (time, cost, risk, capacity)
- a measurable outcome
- a specific bottleneck
Then you ask: Is AI the best tool for this job?
Sometimes the answer is yes. Sometimes the answer is “actually, we just need better search,” or “this needs structured data first,” or “this is a workflow problem, not an intelligence problem.”
The goal isn’t “use AI.” The goal is “solve something important,” and use AI only where it’s a strong fit.
2) Don’t tack AI onto a process, reimagine the process with AI
So you’ve identified an area where AI can be a great tool to get the outcome you want. Be careful not to fall for another trap trap: treating it like a feature you “add” to something that already exists. That usually looks like taking the same old workflow and adding an AI widget on the side- possibly adding even more steps to review/approve/manage it.
The result? You haven’t reduced complexity, you’ve increased it. People now have two systems to use, two places where mistakes can happen, and one more thing that feels optional.
A better approach is to start with a blank sheet:
If AI were available from day one, how would we design this process?
That question forces you to consider what should be automated, what should be simplified, what doesn’t need to exist anymore, and where humans provide the most value. This might also cause you to take a look at your input/data (more in tip #3) or consider where you place the AI for easier utilization (tip #5).
For example: Instead of asking “How do we use AI to help agents respond faster?” ask “What would customer support look like if AI handled the first draft, auto-triaged the issue, suggested next actions, and surfaced relevant information?” Same goal, but very different implementations and outcomes.
Implementation tip: Map the current process end-to-end, then redesign it with AI. You’ll often find that you can remove redundant steps and handoffs for a faster flow.
3) Your AI strategy is your data strategy
AI can feel smart until it touches enterprise reality, which is often messy, inconsistent, fragmented data. As next-token generators, LLMs can only go as far as the data can take it.
Take a look at the data you want to use and consider the following:
- Is it clean data or noisy data?
- Is it structured or unstructured data?
- Do you have legacy systems with weird formats?
- What are your permissions and governance?
- Are you focused on retrieval (finding the right info) before generation (writing anything)?
Many “AI failures” are really data failures in disguise. And if that is the issue, your problems won’t be solved by using even the best model.
The practical takeaway: if you want AI outcomes, invest in:
- data cleaning and standardization
- metadata and taxonomy (so things can be found)
- pipelines that keep information current
- approaches for unstructured content (docs, PDFs, tickets, call logs)
Implementation tip: Start by integration AI into one domain where data is “good enough” and the value is high. Prove impact. Then expand using what you learned to guide the broader data work.
4) For important decisions, build checks and keep humans in the loop
AI is great at drafting, summarizing, classifying, and suggesting. But when the output affects something high-stakes (money, compliance, safety, customers, employment decisions, etc.), you need a system that assumes errors will happen.
A strong enterprise approach usually includes:
- clear thresholds (when AI can act vs. when it can only recommend)
- audit trails (what it used, what it output, who approved)
- human review for high-impact actions
- monitoring and feedback loops so the system improves over time
“Human in the loop” shouldn’t mean “humans fix everything the model breaks.” It should mean when decisions are critical, AI does not make the final say. Don’t forget, even if you define clear thresholds, you need to make sure your employees know what the limits are so they don’t let the AI do more than it should (more on that in tip #6).
Implementation tip: Design your controls proportionally. Low-risk tasks: more automation, less review. High-risk tasks: tighter constraints, stronger verification, and explicit approvals.
5) Your AI is only good if it is used
One of the most consistent messages I heard at the Summit came from some of the largest organizations represented such as Unilever, IBM, and S&P Global Market Intelligence. These companies have spent huge amounts of money expanding in AI but they emphasized that this warning goes for any business, regardless of industry, technical maturity, or company size.
You can buy (or build) the best system in the world and still fail, because nobody uses it.
You can spend thousands or millions of dollars on AI build-outs such as enterprise platforms, internal assistants, or even a “personal Copilot” for every employee. Yet no matter how much spend, you can still get basically nothing back if the AI isn’t actually used.
What that means in practice is that adoption is part of the implementation, not something you “circle back to” after launch:
- Integrate AI where work already happens (not in a separate tab nobody opens).
- Make the first use case undeniably helpful/something that saves time.
- Invest in training and communication so people know what’s allowed, what to trust, and how to sanity-check outputs.
- Measure usage and iterate like a product team.
Implementation tip: Treat “adoption” as a product problem. Pilot with real users, measure usage, gather friction points, and iterate. The strongest AI initiatives aren’t drop and go, they are the ones where teams are encouraged continually after receiving the product to ask questions that better help them use the tool.
You can also ask yourself these questions to get an idea of how user friendly your AI solution is.
- Where does AI live in the workflow?
- How many clicks does it take?
- Does it save time on day one?
- Does it explain itself well enough to be trustworthy?
- Does it fit how people already work?
6) Training and communication are part of the system
Even when teams want to adopt AI, there’s usually confusion:
- What is it allowed to do?
- What data can I put in?
- When should I trust it vs. double-check it?
- Will I get in trouble if it’s wrong?
People adopt tools when they trust them, understand them, and feel that using them makes their job easier. People don’t want to use AI if they fear it will put their reputation at risk or replace them at their job. Without clear communication, people default to extremes such as over-trusting it or ignoring the tool completely.
Furthermore, training isn’t just “how to prompt.” It teaches your employees how to evaluate outputs, what to do with edge cases, how to handle sensitive data, and what “good AI use” looks like in your company.
Implementation tip: Provide lightweight enablement that’s easy to revisit, like:
- short internal playbooks
- examples of good/bad outputs
- “do/don’t” lists for data usage
- office hours or AI champions inside teams
And don’t forget to communicate the “why.” People adopt changes faster when they understand the purpose and the guardrails.

- Pick a real business bottleneck with a measurable outcome.
- Redesign the workflow with AI as a core component.
- Fix the data path (clean, structured, accessible, governed).
- Add the right controls (human checks, audits, monitoring).
- Make adoption inevitable by embedding it where work already happens.
- Train + communicate guardrails, examples, and expectations.
Final thought
AI is moving fast, but enterprise change moves at human speed.
The teams that wins won’t be the ones with the flashiest model. They’ll be the ones who treat AI implementation as a holistic system, with process design, data readiness, adoption, training, and governance, all working together.
